Data retention policy
Upper keeps your route and delivery history available in Analytics. For long-term records — audits, compliance, year-over-year — export regularly and archive externally.
Your route and delivery history lives in Upper's Analytics reports, where you can filter, view, and export it. If you need records for the long term — audits, compliance, customer disputes, or year-over-year analysis — the reliable approach is to export your data on a regular schedule and keep a copy in your own storage.
How long Upper keeps your data
The amount of history Upper retains in Analytics depends on your plan:
| Plan | Data retention |
|---|---|
| Starter | 6 months |
| Professional | 1 year |
| Optimize | 2 years |
| Enterprise | Custom |
Once data passes your retention window it is deleted permanently and can't be recovered, so export anything you need to keep for longer before it ages out.
Why this matters
Long-term reporting decisions depend on data you can still reach when you need it. Setting up a regular export schedule means an audit request, a customer dispute, or an annual review never depends on finding old data after the fact — you already have it archived where you control it.
The most dependable long-term archive is your own. Export the reports you care about on a regular cadence and store them in a cloud drive, data warehouse, or compliance tool. That way your records are always available, regardless of how long they remain inside Upper.
What you can export
Upper's Analytics reports cover the operational data most teams need to keep. Open Track → Analytics, choose a report from the View by dropdown, then export it:
- Route Plan Summary Report — one row per route (route name, driver/team, date, durations, status, stop counts).
- Route Plan Detailed Report — one row per stop (addresses, time windows, completion times, status, proof of delivery, notes).
- Route Plan SMS Detailed Report — one row per customer SMS sent.
- Route Plan Email Detailed Report — one row per customer email sent.
- Driver Timesheet Report — clock-in/clock-out records and shift durations.
Which reports appear depends on your plan and workspace settings, and the Driver Timesheet Report appears only when your workspace has shift-hours tracking enabled. If a report isn't in your View by list, it isn't available on your current plan or setup. Your workspace may also label these around technicians and service instead of drivers and delivery.
Set up a regular export
Decide what to keep
Identify the records you need for the long term — for example, audit trails, customer delivery proofs, or KPI history — and which report covers each.
Pick a cadence
Weekly or monthly works for most teams. Match it to how often you'd realistically need to reach back for a record.
Export the report
In Track → Analytics, select the report in View by, apply any date range or filters, then use the Export button (top-right). Choose your format and fields in the Export modal and start the export. You can tick Send e-mail when Export is complete to be notified.
Archive it externally
Save each export to storage you control — a cloud drive, your data warehouse, or a compliance system — so the record is always available to you.
To take the manual work out of step 3, schedule recurring exports instead of running them by hand. See Schedule automated reports.
Common scenarios
- Compliance archive — Schedule recurring Route Plan Detailed Report exports that include the proof-of-delivery columns, and store them in your compliance system.
- Year-over-year comparison — Run monthly exports throughout the year so you always have a full historical series to compare against, even if your in-app history doesn't reach back that far.
- Customer dispute on an old delivery — Keep your Detailed Report exports (with proof of delivery) archived so you can pull up any past delivery on request.
- Tax or finance retention — Many jurisdictions require keeping records for several years. Treat your external archive as the system of record for those requirements.
