Add and manage vehicles
Add, edit, import, and delete Vehicle Profiles in Upper Route Planner. Store routing settings, identity, compliance dates, and maintenance for every vehicle.
Vehicle Profiles are how Upper keeps track of every vehicle in your fleet. Each profile is one record that can hold routing settings, identity and registration details, compliance dates, and maintenance history. You manage them on the Vehicle Profiles page under Fleet Operations in the left sidebar.
Because a vehicle is its own record — separate from any driver — you can reuse it, share it between drivers, and keep its compliance and maintenance data in one place. The routing settings on a profile also feed Upper's optimizer, so the way you set up a vehicle affects how Upper plans its routes.
This article uses Upper's default labels (driver, delivery). Your workspace may be set up to show Technician and Service instead — the wording is configurable, but the steps are the same.
Open the Vehicle Profiles page
In the left sidebar, open the Fleet Operations group and select Vehicle Profiles.
If you haven't added any vehicles yet, you'll see a "Tell Upper about your fleet" screen with a + Add your first profile button. Once you have profiles, the page shows a Total: N Profiles counter, a + add menu, a Search box, and a filter icon. There's also an Export button in the top-right.
Add a vehicle
Open the add panel
On the Vehicle Profiles page, click the + button and choose Add Vehicle Profile.
Fill in the four tabs
The Add Vehicle Profile panel opens with four tabs. Only a couple of fields are required to save — you can come back and complete the rest later.
| Tab | What goes here |
|---|---|
| Basic Info | Profile name, base type, vehicle height and width, max stops, what to avoid, curbside service, speed limit, and capacity |
| Identity | Photo, VIN, make, model, year, license plate, color, fuel type, ownership, status, assigned driver, and purchase details |
| Compliance | Registration, insurance, inspection, emissions, DOT, permit, warranty, and lease dates |
| Maintenance | Odometer reading, service schedule, oil change, and tire tracking |
The only required fields are Profile Name and Base Type (on the Basic Info tab). For full field-by-field details, see What you can store in a Vehicle Profile.
Save
Click Save Changes at the bottom-right of the panel.
Create your Vehicle Profiles first, then attach them to drivers when you add or edit a driver. Setting up the vehicle once and assigning it keeps your records cleaner than re-entering vehicle settings inside each driver. See Assign vehicles to drivers.
Import vehicles in bulk
If you already track your fleet in a spreadsheet, import it instead of adding vehicles one at a time.
Open the import tool
Click the + button and choose Import Vehicle Profiles.
Upload and map your columns
Upload your file, then match your spreadsheet columns to Upper's fields. Profile Name and Vehicle Type are required; you can also map VIN, Make, Model, Year, License Plate, Color, Fuel Type, and odometer readings. Imported vehicles are set to Active status by default.
For the full walkthrough, see Import vehicle profiles.
Find a vehicle in the list
The Vehicle Profiles list shows these columns: Profile Name, Base Type, VIN, Make, Model, Year, License Plate, Fuel Type, Status, Actual Reading, Estimated Reading, and an Action menu. Most columns are sortable.
To narrow the list:
- Type into the Search box, or
- Click the filter icon and filter by Status, Fuel Type, Make, Year, Vehicle Type, Ownership Type, or Assigned Driver.
The list paginates in groups of 10, 25, 50, or 100.
Edit or delete a vehicle
Each row has a ... (kebab) menu with Edit and Delete.
- Edit reopens the same four-tab panel so you can update any field, then Save Changes.
- Delete shows a confirmation — "Are you sure you want to delete [name]?" — before removing the profile.
If a vehicle moves between drivers, keep the single profile and just reassign it from the Identity tab (Assigned Driver). Deleting and recreating the profile loses its compliance and maintenance history.

Assign vehicles to drivers
Assign a vehicle to a driver in Upper Route Planner by linking a saved Vehicle Profile or setting the vehicle fields on the driver's record. Both paths work.
