Log fuel reports
Log fuel reports in Upper to track fuel spend per vehicle and driver. Record volume, cost, odometer, and fill-up date, attach a receipt, or import in bulk.
Fuel Reports in Upper let you track fuel spend across your fleet. Each report ties a fill-up to a vehicle and driver, captures the volume, cost, and odometer reading, and can hold a photo of the receipt — so you can see cost-per-mile, watch margins, and handle reimbursements.
Your workspace may show Technician and Service labels instead of Driver and Delivery. The steps are the same either way — only the wording differs.
Where to find Fuel Reports
In the left sidebar, open the Fleet Operations group and select Fuel Reports.
If you haven't logged any fuel yet, you'll see a Track fuel costs across your fleet screen with a + Log your first fuel entry button. Once entries exist, the page shows a running Total count, a + add menu, a Search box, and a filter icon. The Export button sits in the top-right.
Add a fuel report
Open the form
Go to Fleet Operations > Fuel Reports, click the + add menu, and choose Add Fuel Report. A slide-over panel opens.
Fill in the fuel report details
Under Fuel Report Details, set:
- Reporter — who is submitting the report.
- Driver — which driver fueled up.
- Vehicle (required) — search and select the vehicle that was fueled.
- Status — defaults to Recorded.
Enter the fuel data
Under Fuel Data, enter:
- Odometer — the current odometer reading, in miles.
- Fuel Volume (required) — the amount of fuel, with a unit selector for Liters or Gallons (defaults to Liters).
- Fuel Cost (required) — the total cost of the fill-up.
- Fill-up Date — defaults to today; change it if you're logging an older receipt.
Attach a receipt (optional)
Under Receipt Image (Optional), tap to upload a photo of the fuel receipt.
Save
Click Save. The report appears in the Fuel Reports list.
Enter the odometer on every fill-up. Combined with the fuel volume, consistent odometer readings give you real fuel-efficiency numbers per vehicle — the kind of trend that tells you when a unit is running hot or due for service.
Import fuel reports in bulk
To add many fuel records at once, open the + add menu on the Fuel Reports page and choose Import Fuel Reports.
The importer maps these fields: Vehicle Name (required), Fillup Date (required), Fuel Volume (required), Fuel Cost, Odometer, and Volume Unit.
Reading the Fuel Reports list
Each row shows: # · ID · Vehicle · Date · Volume · Cost · Odometer · Status · Action. Volume displays with its unit (L or gal), Cost in dollars, and Odometer in miles.
To narrow the list, open the filter drawer and filter by date range and Status. You can also search and sort, and use the row's "..." (Action) menu to Edit or Delete a report.
To pull the data out of Upper — for accounting or your own analysis — use the Export button in the top-right.
