Set up vehicle compliance alerts
Turn on Vehicle Compliance Alerts in Upper to get email reminders 30, 15, and 7 days before a vehicle's registration, insurance, or inspection expires.
Vehicle Compliance Alerts in Upper Route Planner send email reminders before a vehicle's documents expire — registration, insurance, inspections, permits, warranty, and lease. Reminders are sent at 30, 15, and 7 days before each expiry date, so a lapsed document never catches your fleet by surprise.
Alerts are driven by the expiry dates you enter on the Compliance tab of each Vehicle Profile. If a date is filled in, Upper watches it. If a field is empty, that date is simply skipped.
Your workspace may show Technician and Service labels instead of Driver and Delivery. The compliance settings described here are the same in either case.
Before you start
- Add your vehicles first, and fill in the relevant expiry dates on each Vehicle Profile's Compliance tab. Alerts only fire for dates that actually exist.
- Compliance Alerts are turned on by default, so you may already be receiving reminders. The steps below show you how to confirm and adjust the settings.
Turn on and adjust compliance alerts
Open the Vehicle Compliance Alerts page
In the left sidebar, go to Settings, then open Automations and select Vehicle Compliance Alerts.
Confirm the master toggle is on
Make sure Enable Compliance Alerts is switched on. This is the master switch — when it's off, no compliance reminders are sent regardless of the individual settings below.
Choose which expiry types you want
Under Notification Types, switch each alert type on or off (see the list below). Use Enable All or Disable All to flip every type at once.
Save your changes
Click Save Changes at the bottom of the page.
What you can get alerts for
There are eight notification types, each tied to a date field on the Vehicle Profile's Compliance tab:
| Notification type | What it watches |
|---|---|
| Registration Expiry | Vehicle registration is about to expire |
| Insurance Expiry | Vehicle insurance is about to expire |
| Inspection Certificate Expiry | Inspection certificate is about to expire |
| Emissions Test Expiry | Emissions test is about to expire |
| DOT Inspection Expiry | DOT inspection is about to expire |
| Permit/Placard Expiry | A permit or placard is about to expire |
| Warranty End Date | Vehicle warranty is about to end |
| Lease End Date | Vehicle lease is about to end |
When reminders arrive
For every vehicle that has a date set, Upper sends three reminders before that date:
- 30 days before — first reminder
- 15 days before — second reminder
- 7 days before — final reminder
Reminder emails go to the account owner at 8:00 AM. Each email includes the vehicle name and how many days remain until the document expires.
Fill in expiry dates on the Compliance tab the same day you create a Vehicle Profile. Alerts only fire when a date exists, so an empty field means no reminder — even with the alert type switched on.
What's monitored
- Every vehicle in your fleet that has expiry dates set on its Compliance tab
- Registration, insurance, inspections, and permits
- Warranty and lease end dates
