Track vehicle compliance and document expiry
Record registration, insurance, inspection, warranty, and lease dates on a Vehicle Profile's Compliance tab in Upper, and upload the documents. Reminders fire at 30/15/7 days.
Each Vehicle Profile in Upper has a Compliance tab where you record expiry dates for registration, insurance, inspections, certifications, warranty, and lease — and upload the supporting documents. Entering these dates is what powers the automated reminder emails before anything expires.
Keeping compliance dates on the profile means the documents are in one place when you need them — an insurance audit, a DOT inspection, or an accident response — and the days-until-expiry reminders give you time to act.
Before you start
- Where it lives — Vehicle Profiles is under the Fleet Operations group in the left sidebar.
- Documents ready — Have your registration and insurance files on hand if you want to upload them. Accepted file types are PDF, JPG, JPEG, and PNG, up to 3 MB per file.
Setting expiry dates here is what the reminder emails read from. To choose which expiry types email you, turn the matching toggles on in Settings → Automations → Vehicle Compliance Alerts.
Open the Compliance tab
Open Vehicle Profiles
In the left sidebar, open Fleet Operations → Vehicle Profiles.
Add or edit a profile
Click the + menu and choose Add Vehicle Profile to create a new vehicle, or open the ... (kebab) menu on an existing row and choose Edit.
Go to the Compliance tab
In the slide-over, select the Compliance tab. A banner at the top reads "Alerts sent at 30/15/7 days before expiry."
Fill in the fields and save
Enter the relevant dates, upload any documents, then click Save Changes.

Upload the actual registration and insurance files, not just the dates. When an audit or inspection asks for proof, the document is right inside the profile — no scramble to find it.
How the reminders work
When an expiry date is set on a profile, Upper sends email reminders before that date — a first reminder at 30 days, a second at 15 days, and a final one at 7 days. Each email includes the vehicle name and the number of days until expiry.
You control which expiry types send email in Settings → Automations → Vehicle Compliance Alerts. There's a master Enable Compliance Alerts toggle plus individual toggles for each type: Registration Expiry, Insurance Expiry, Inspection Certificate Expiry, Emissions Test Expiry, DOT Inspection Expiry, Permit/Placard Expiry, Warranty End Date, and Lease End Date.
A reminder only fires if two things are true: the matching alert type is enabled in Settings, and the expiry date is filled in on the vehicle's Compliance tab. A blank date means no reminder.
Accordions and FAQ
Some workspaces are configured to show Technician and service-style labels instead of Driver and delivery labels. The Compliance tab fields are the same either way.
